There are 8 pre-built reports that CommCareHQ provides for easy, quick analysis of CHW performance.  To access these reports, log into your domain on CommCareHQ and click the "Reporting" tab.  Use the "Select Report" drop-down to select a report. 

Case Activity

This report displays the number and percentage of open cases that have been modified over a given time period. There are 4 columns in this report which provide standard time periods:

  • Last 30 days: this column displays the number and percentage of cases that have been modified in the last 30 days, out of the total open cases modified in the last 60 days.
  • Last 60 days: this column displays the number and percentage of cases that have been modified in the last 60 days, out of the total open cases modified in the last 120 days.
  • Last 120 days: this column displays the number and percentage of cases that have been modified in the last 120 days, out of the total cases ever opened.
  • Ever: this column displays number of cases ever opened.

*Purpose:  *In effect, the data manager can see the most recent case activity as s/he reviews CHW performance across different time periods.  This helps identify whether the CHWs are routinely visiting their clients up to your expectation.  One limitation is that you can't modify the column dates. 

Submissions by Form

This report displays the number of forms submitted by form type and by each CHW.  The date range can be configured using the date select.

  • User: this column displays every registered user.  NOTE: there is a functionality in CCHQ to "inactivate" users.  If a user is "inactivated", they will not be displayed here. 
  • Form type columns: this (these) columns display each form type in the domain.  NOTE: if there were 0 forms submitted during the selected time period for, for example, form X, this form will not be displayed.
  • All forms:  this column is a sum of all of the forms submitted by each user. 

Purpose: This report allows the data manager to monitor the activity of the CHWs more closely.  The manager can see that the CHWs are completing a certain number of form X which gives a sense of how the CHWs are spending their time. 

Daily Form Submissions

This report displays total form submissions organized by date and by user. The date and time captured refers to the time the form was received by the server. The date range can be configured using the date select.

  • User: this column displays every registered user.  NOTE: there is a functionality in CCHQ to "inactivate" users.  If a user is "inactivated", they will not be displayed here.
  • Date columns: each day in the date range will be displayed individually.

Purpose: This report allows the data manager to see exactly when each CHW is submitting their forms.  NOTE: This report doesn't necessarily imply that this is when the CHW actually completed the form on the phone.  There are several reasons for delayed submission including poor network coverage.

Daily Form Completions

This report displays total form completions organized by date and by user. The date and time captured refers to the time the form was completed on the CHW's phone. The date range can be configured using the date select.

  • User: this column displays every registered user.  NOTE: there is a functionality in CCHQ to "inactivate" users.  If a user is "inactivated", they will not be displayed here.
  • Date columns: each day in the date range will be displayed individually. 

Purpose: This report allows the data manager to see exactly when each CHW is completing their forms on the phone.  This gives the data manager a sense of when the CHWs are actually filling out and completing the phone on their phones.  Completion time is important for understanding the work pattern of CHWs.  TIP: If the number of forms in the Daily Form Submissions report is greater than the form totals in the Daily Form Completions for the same date range, it may be an indication of incorrect date/time settings on the user's phone. 

Form Completion Trends

This report displays the average completion times for specified form per user over a given time period.  The form can be selected using the "Choose form:" drop-down menu.  The date range can be configured using the date select.  NOTE: The date range will filter on the submitted forms during this time period, not on forms completed during this time period. 

  • User: all users that submitted this type of form during the selected time period.
  • Average duration: the average completion time for the selected form, for both "all users" and "each user". .
  • Shortest: the shortest completion time for the selected form, for both "all users" and "each user".
  • Longest: the longest completion time for the selected form, for both "all users" and "each user". 
  • Total: the total number of forms submitted in the selected time period, for both "all users" and "each user". 

Purpose: This report allows the data manager to understand how long the CHW is taking to complete a form on their form.  Completion time can be an important measure of performance, particularly for forms which require counseling by the CHW.  If CHWs are completing a form very fast, then the CHWs may not understand the topics or may not be counseling correctly.

Submit Times

This report is a graphical representation of the form submit trends over the entire duration of the project.  This uses all forms ever completed.

  • Y axis: displays each day of the week.
  • X axis: displays the hours of the day. 

Purpose: This graph provides the data manager with a high-level understanding when the CHWs are submitting their forms, in terms of when during the day (by hour) and when during the week (by day).

Submit Trends

This report is a graphical representation of the form submit trends over the last month.

  • Left Y axis: average form completion time, in seconds.
  • Right Y axis: average number of forms completed per CHW. 
  • X axis: Date intervals during the past month. 

Purpose: This graph provides the data manager with a more detailed view of CHW performance by comparing average completion time and average number of forms completed. 

Submit Distribution

This report is a graphical representation of the forms submitted by type during the entire duration of the project.  This uses all forms ever completed.  The user can be configured using the "Select a CHW:" drop-down menu.

  • The pie chart shows the distribution of forms submitted. 

Purpose: This graph provides the data manager with a high-level view of the forms that the CHWs are submitting.  This can be used to understand how the CHWs are using the CommCare application.
